Role
The Team Assistant keeps the Bell & Bone team running. The role takes high-volume admin off the team's plate so everyone can focus on the work that needs their judgment. You will work across customer care, wholesale coordination, marketing admin, operations, and executive support. The work is varied, and the standard is steady: nothing falls through the cracks, and the team is set up to do their best work.
This role is built to be stable and long-term. The hours are 9 to 3, with flexibility around family and school commitments. The work is consistent, and the expectations are clear. Key responsibilities
- Wholesale and retailer coordination: prepare and submit weekly orders for retailers including Petbarn, Petstock, and Pet Circle, process purchase orders, and keep records and trackers current.
- Product and SKU admin: track uploads and stock levels, update SKUs and product details, and submit new line forms to retailers.
- Customer care and community: respond to customer chat, the info and wholesale inboxes, reviews, and social comments in the brand voice, and escalate anything that needs senior input.
- Marketing and social admin: maintain the creator trackers, process and dispatch creator orders, upload blog posts in Shopify, and support paid social admin under the marketing team's direction.
- Operations and supplier support: manage sourcing admin on Alibaba, follow up with suppliers, warehouse, and freight, and keep operational trackers and contact lists up to date.
- Executive and team support: manage the founder's inbox and flag what needs her attention; prepare meeting agendas; and help with logistics for events, activations, and shoots.
- 2 to 3 years in an administrative, coordination, customer service, or operations support role, ideally in a fast-moving consumer, retail, or e-commerce business.
- Clear, warm written communication that adapts to the brand voice.
- Organised and detail-oriented across spreadsheets, trackers, and email.
- Confident with everyday digital tools, including Google Workspace or Microsoft 365, Slack, and shared drives.
- Shopify experience a big plus
